Photo Permissions for the Neighbourhood History Exhibition

Dear Amelia,

I am writing about the neighbourhood photography exhibition scheduled to open at the Riverside Archive on Saturday, November 21. Our volunteer team has collected photographs of shopfronts, community celebrations and street scenes dating from the 1950s through the 1980s. We had planned to finish installing the prints on Thursday afternoon, so that the public could attend a short preview on Friday evening. I have been responsible for the captions and the permissions list, while Priya Shah has coordinated the display frames.

Yesterday, the family of photographer Edwin Marsh contacted us about four photographs donated by his nephew. They are happy for the archive to keep the originals, but the donation agreement does not authorize public display. The nephew had assumed that handing over the negatives automatically gave the archive permission to exhibit them. Unfortunately, it does not. The family has offered to sign a separate display form, but their representative cannot meet us until Friday at 11:00 a.m. We should not hang those four prints before the form is signed.

The delayed permission creates a gap in our planned entrance display. One practical solution would be to replace the four prints temporarily with an enlarged historical street map. The map belongs to the archive, and its reproduction rights have already been confirmed. Priya says that the map frame will fit the entrance wall without any changes. We can prepare it on Thursday and exchange it for the photographs after receiving written approval.

There is a separate issue with the caption for a 1976 image of the old cinema. It currently identifies the building as the Riverside Theatre, but local records show it was called the Regent Cinema in that year. The Riverside Theatre name was adopted after the renovation in 1984. The print itself is accurate; only the text on the caption card needs correcting. I have attached the relevant entry from the municipal directory so the change can be documented.

Finally, the volunteer who was going to collect the protective glass panels cannot come on Thursday because of a work shift change. Marco Chen can borrow the archive van and collect the panels from the framing shop on Friday morning, provided someone gives him the collection receipt. He has a valid licence but has not driven the van before. Could Priya meet him at 9:00 a.m. and explain the loading procedure? The framing shop closes at noon on Fridays.

Please tell me whether we should use the map temporarily and whether Priya can brief Marco. I will bring the corrected cinema caption on Thursday. If the permission form arrives Friday as expected, we can still open the exhibition on Saturday without displaying anything we are not authorized to show.

Best regards,
Jonah Price
